Billbee & accounting: DATEV yes – but Billbee is not accounting software

Precision matters here, because many beginners mix this up: Billbee creates invoices and hands the data to your accounting – but it is not accounting software. One honest note: an immutable, audit-proof invoice archive inside Billbee itself has been on the public community wishlist for years (open roadmap entry since 2022) – invoices can technically still be edited after creation. In practice this means: tamper-proof archiving (Germany’s GoBD rules) is handled by your connected accounting software, not by Billbee. GDPR & server location: how German is Billbee?

Very German – with one footnote. The facts:

  • Servers in Germany: according to the subprocessor list in the DPA, the primary servers run at Hetzner (Gunzenhausen), external backups are stored at TWL-KOM in Ludwigshafen. In the DPA, Billbee contractually guarantees that data processing takes place exclusively in the EU/EEA.
  • DPA per Art. 28 GDPR: provided (as a PDF via your Billbee account), and an external data protection officer is appointed.
  • The footnote: for individual auxiliary services Billbee uses US providers – such as Help Scout for support, AWS (Luxembourg region) for documents/email and Datadog for monitoring. Uncritical for most sellers, but it belongs in an honest review.
