ProvenExpert Review: The Rating Tool for Service Providers

Anyone looking for a service provider today googles the reviews first. That is exactly where ProvenExpert comes in: the Berlin-based platform helps you actively collect customer feedback instead of waiting for someone to randomly leave a Google review.

The promise: all your reviews from Google, Facebook, kununu and over 460 other sources in one place, plus a trust seal for your website and stars in Google search results. In the DACH region the seal has become so common that many customers recognise it at first glance.

We took a close look at features, pricing and the criticism of the platform – including the uncomfortable question of how independent reviews can be when a company collects them itself. And we explain why ProvenExpert is a top tool for service providers but usually not the first choice for a classic online shop.

What is ProvenExpert?

ProvenExpert is a review and reputation platform run by Expert Systems AG in Berlin. The company has been around since 2011, belongs to the BELLEVUE Investments group and employs about 50 people. According to its own figures, the platform hosts more than 2.4 million company profiles and over 140 million reviews.

The concept differs from Trustpilot or Google: instead of passively waiting for reviews, you actively ask your customers – by email, link or QR code. On top of that, ProvenExpert imports your existing reviews from other platforms and combines everything into one overall score that you can display as a seal on your website.

Relevant for European businesses: the servers are located exclusively in Germany, the platform is ISO 27001 certified and a data processing agreement for GDPR compliance is available.

How you collect reviews with ProvenExpert

The core of the tool is surveys. You pick a template for your industry – there are ready-made questionnaires for around 20 fields, from tax advisors to coaches to trade businesses – and send the survey link by email, share it as a QR code on your invoice or put printed survey cards in the parcel. Your customers then rate individual criteria such as consulting quality, reliability or value for money, not just a generic star count.

The second building block is aggregation: ProvenExpert connects to your profiles on more than 460 platforms – Google, Facebook, Trustpilot, kununu and many more – and pulls those reviews into your profile. Everything is combined into one overall score. If your reviews are scattered across several portals, this is the real value: one place where everything comes together.

How many sources you can connect depends on the plan, though: 3 on Basic, 5 on Plus, unlimited only on Premium. The free plan cannot connect any external sources at all.

For automation there is a Zapier integration (for example: automatically send a review request after every paid order), an API from the Plus plan upwards, plus connections to KlickTipp and Billbee. A native Shopify or WooCommerce app does not exist – more on that below.

Seal, widgets and Google stars

The results become visible through the round ProvenExpert seal, available as a web, video or print version, and through review widgets for your website. The PRO seal can also display the imported reviews from other platforms. Both are installed quickly: copy the code, paste it, done – no programming skills required.

Then there are the Google stars: from the Plus plan upwards, ProvenExpert provides structured data that can make your website show star ratings in organic Google results. That stands out in search and sets you apart from competitors. Two honest caveats: Google decides on its own whether to display the stars – there is no guarantee. And for paid Google Ads (seller ratings), ProvenExpert does not work, by the company’s own admission.

One more practical note if you advertise with your average score: in 2024 Germany’s Federal Court of Justice ruled that advertising with an average star rating must state the total number of reviews and the period they cover (ruling of 25 July 2024, I ZR 143/23). The seal itself includes this information – but if you use the score in ads or flyers, keep it in mind.

How much does ProvenExpert cost?

There is a permanently free plan and three paid tiers. Prices are net, i.e. VAT is added. Paying annually in advance is considerably cheaper than the monthly subscription:

Two things you should know before signing up. First, the visibility limits: each plan only displays a certain number of reviews publicly. If you collect more than 50 reviews on the Basic plan, you need an upgrade to keep your profile complete – so success almost inevitably pushes you into the higher tiers. Second, the cancellation terms: the monthly plan can be cancelled with two weeks’ notice to the end of the month; the annual contract has a minimum term of one year and renews automatically unless you cancel at least two weeks before it ends. This is exactly where a large part of the criticism on Trustpilot comes from – we would set a calendar reminder for the cancellation deadline right when signing up.

You can test all Premium features for 30 days; after that you are automatically downgraded to the free plan, so there are no unwanted costs.

How independent are the reviews?

“Is ProvenExpert legit?” is one of the most common questions about the platform – and it is a fair one, because the model has a built-in tension: the company being reviewed is also the paying customer.

Specifically, profile owners can choose to publish reviews only after their own approval. ProvenExpert counters that negative reviews cannot simply be deleted and that the overall score is hidden if submitted reviews remain unpublished for more than 72 hours. Still, the mechanism differs from Google or Trustpilot, where anyone can post unfiltered. On top of that, reviews can be submitted anonymously – which lowers the bar for fakes compared to other platforms.

Our advice: read a ProvenExpert profile like a curated portfolio, not a neutral complaints board. As a business owner, that is precisely the advantage – you stay in control of how you present yourself. As a consumer, check Google or Trustpilot as well. You can know both things and still work with the platform in good conscience; you just should not blindly trust any single seal.

What do users say about ProvenExpert?

The picture is split – in an interesting way. On Google, Expert Systems AG holds 4.4 out of 5 stars from more than 600 reviews; on OMR Reviews it scores 4.3. Users praise the personally reachable support, the simple setup and the way scattered reviews are pulled together.

On Trustpilot, however, ProvenExpert only reaches about 3.7 out of 5 from roughly 575 reviews, with a strongly polarised trend over the last twelve months: many 5-star votes, but also a high share of 1-star ratings. Reading the critical voices, they are almost never about the product itself but about contracts and pricing: overlooked automatic renewals, little goodwill on missed cancellation deadlines, and price increases. That matches our impression of the pricing model – the tool is good, but keep an eye on the contract.

Who is ProvenExpert for – and who is it not for?

ProvenExpert is built for service providers, and that is where it plays to its strengths: coaches, consultants, agencies, trade businesses, brokers, finance and insurance professionals, doctors, driving schools. Wherever customers hire a person or a firm and need to build trust first, the industry surveys, the well-known seal and the Google stars are exactly the right toolkit. Freelancers or fulfilment providers who sell services in the e-commerce world fit here too.

For a classic online shop, things look different. ProvenExpert only knows company and service profiles – there are no product reviews, no photo reviews under your products, no automatic review request after delivery, and no Shopify or WooCommerce app (automated requests only work via workarounds like Zapier or Billbee). It also cannot deliver seller ratings for Google Ads, an important lever for shops. If you run a shop, you are better served with Trusted Shops (buyer protection plus shop reviews), Trustpilot, or product review apps like Judge.me and Loox.

In short: if you sell time, knowledge or craft, ProvenExpert is one of the best solutions in the German-speaking market. If you sell products in a cart, pick a shop-specific review tool.

Is ProvenExpert worth it?

Yes – if you are a service provider. The combination of actively collecting reviews, aggregating over 460 platforms and the widely recognised seal is unique in this form in the German-speaking market, setup takes less than an afternoon, and the German server location keeps the privacy side simple. That is why ProvenExpert lands clearly in the upper range for us despite the points of criticism.

We deduct points for the price, which quickly becomes disproportionate for solo self-employed users on the monthly plan (the annual contract is considerably fairer), and for the contract model with automatic renewal. If you start with the free plan, test the tool at your own pace and note the cancellation deadline when upgrading, you avoid both traps.
